Custom agents

An agent for one job in your operation.

We take one process that eats your team's week, like enquiries, document checks, follow-ups or reporting, and build an agent that does it inside the tools you already use. Then we run it.

Where it earns its place

Work your team repeats every day.

Each agent does one job end to end. These are the four we build most often.

01

Enquiry handling

Brokerages, clinics, education, home services
How it runs today

Enquiries arrive from the website, portals, email and WhatsApp. Someone copies each one into the CRM and replies when they get a moment, often the next morning.

With the agent

Replies within minutes, asks the qualifying questions you would ask, creates the CRM record and hands the enquiry to the right person with a two-line summary.

Stays with your team: The conversation that wins the client, pricing and anything outside your usual work.
02

Document checks

Insurance, visas and onboarding, lending, compliance
How it runs today

A team member opens every submission, checks it against a list, then emails the customer about what is missing. Files wait days for a reply.

With the agent

Reads each document, checks it against your checklist, requests the missing items from the customer and puts a complete file in front of your reviewer.

Stays with your team: Approval, rejection and every judgement on an unusual case.
03

Follow-ups and scheduling

Clinics, tuition, field service, property management
How it runs today

Unconfirmed appointments, unpaid invoices and quotes with no answer sit in a spreadsheet until someone has time to chase them.

With the agent

Chases each one on the right channel, reschedules within your calendar rules, updates the record and flags the replies that need a person.

Stays with your team: Difficult conversations, exceptions to policy and anything involving a refund.
04

Weekly reporting

Operations, finance and sales teams
How it runs today

Every Monday someone exports numbers from three systems, reconciles them in a spreadsheet and writes the same summary by hand.

With the agent

Pulls the figures, checks that they agree, writes the one-page summary and highlights anything that moved more than you would expect.

Stays with your team: What the numbers mean for the business, and what to do about them.

How an engagement runs

Three steps. No long discovery phase.

You see the agent working on your own cases before you decide to let it act.

  1. 01Week 1

    Map the process

We sit with the people who do the work today, follow real cases from start to finish and agree what a finished job looks like.

  2. 02Weeks 2–4

    Build and prove it

We build inside your existing tools and test against last month's real cases. The agent then runs alongside your team before it acts on its own.

  3. 03Ongoing

    Operate it

We watch every run, review the exceptions with you each week and change the agent when your process, prices or policies change.

Limits, set before launch

It works like a careful new hire.

An agent gets the access its job needs and nothing more. The limits are agreed with you in week one and built into the system, not left to the model's judgement.

The agent never
  • Moves money or approves a payment
  • Signs, accepts or cancels anything on your behalf
  • Makes the final call on a regulated or unusual case
  • Deletes records or changes permissions
The agent always
  • Works only in the systems you approve, with its own login
  • Leaves a record of every action, readable by your team
  • Hands over to a named person when it is unsure
  • Can be paused by you at any time

Inside your existing tools

Nothing new for your team to learn.

The agent works in the systems your team already uses. If we have not connected to something before, we will say so on the first call.

  • Email, WhatsApp Business, SMS
Workspace
  • Google Workspace, Microsoft 365
Calendars

Questions

Before you book.

How is this different from Zapier or Make?

Those tools move data when the rules are fixed. An agent handles the part in between: reading a message, deciding what it is, asking for what is missing and knowing when to stop and pass it to a person. We often use both in the same build.

Do we need to change our software?

No. We build around the tools you already use and give the agent its own account with limited access, the same way you would set up a new member of staff.

What happens when the agent gets something wrong?

It runs alongside your team before it acts alone, so most mistakes are caught before launch. After that, every action is logged, anything uncertain goes to a person, and we review the exceptions with you every week.

How long until it is working?

Most single-process agents are running alongside your team within three to four weeks of the first session, and working on their own shortly after.

Who owns what you build?

You do. The configuration, prompts, workflows and records sit in accounts you control. If you ever stop working with us, the agent keeps working.

Start with one process

Bring the job your team is tired of doing.

Thirty minutes with the people who build the agents. We will tell you whether an agent should do it, and if not, what should.
